When you create and publish presentations, the correct legal basis for the respective target country is applied automatically — you don't have to take care of anything manually, and you're still legally sound at all times.

No two businesses are alike — and that's exactly why the LegalHub doesn't stop at the imprint and privacy policy. You can create entirely custom legal content and decide for yourself:

• Type of content (e.g. policy, agreement, statement)
• Name, so everything stays clearly identifiable
• Language, matched to recipients and target markets
• Content, fully free to write as you like

For practically any use case

That means the LegalHub can be used for practically any use case your business needs — for example:

• internal policies for handling sensitive media data
• usage rights agreements for freelancers and photographers
• confidentiality statements for press and partnership contacts
• binding brand guidelines for partners and licensees
• approval terms for sponsor or partner content

And because legal protection often takes more than plain information, you can also make your content available as a download and have your recipients actively confirm it. That way you create verifiable consent, exactly where it counts.

LegalAgent: never lose track of usage rights again

Expired usage rights are among the most expensive and most avoidable mistakes in handling media data. The LegalAgent inside the LegalHub takes over this monitoring for you: it keeps track of all the usage periods stored for your assets and notifies you automatically before a deadline expires. How many days in advance you want to be warned is entirely up to you — just as suitable for a business with long lead times as for fast, agile teams.

Custom metadata fields — the right field type for every kind of information

In the DataStudio you create your own metadata fields, choosing from six different field types, so every piece of information is captured exactly the way it's needed:

• Single select — exactly one option from a fixed list
• Multi select — any number of options assignable at once
• Text — free-form entry for individual descriptions
• Number — for quantities, values or metrics
• Yes/No — for clear, unambiguous states
• GeoLink — to link assets to a location

That way, the DataStudio lets you capture practically any information that's relevant to your business — whether it's internal classifications, approval status, or department-specific details.

Metadata groups — structure that grows with you

The more metadata fields a business uses, the more important it becomes to keep an overview. That's why the DataStudio lets you group any number of fields into metadata groups. One example: for a "Video analysis" group, you can bundle matching fields such as:

• Video analysis description
• Video analysis summary
• Video analysis cutlist
• Consent for promotional use

That way, even a complex metadata structure with many fields stays clear, easy to follow and simple for your whole team to use.

Required fields — quality assured from the start

So important information doesn't have to be added after the fact, you define required fields in the DataStudio that must be filled in when photos are uploaded. Numerous fields from the IPTC standard are available for this — the established basis for image metadata such as creator, description or copyright.

The built-in AI assistant

The built-in AI assistant adds extra efficiency: switchable individually, it delivers automatic suggestions for empty required fields — making sure high-quality metadata gets created without your team having to fill in every field by hand.

The AI assistant requires a previously booked VisionAI package for photos; the same AI terms apply as for VisionAI.

Four views to choose from

Choose the display that fits your task:

• Grid — tile view with configurable preview size
• List — compact list view with file details
• Table — tabular display of all assets
• Gallery — full-screen view in a masonry layout

On top of that, you decide how many files load per page — for a quick overview or maximum detail, exactly as you need it.

Thumbnails exactly the way you want to see them

The display of the thumbnails themselves is freely selectable too:

• Fill — the tile is filled completely; the original aspect ratio isn't kept 100%
• Fit — the original aspect ratio stays visible, with a grey tile background
• Blur — the original aspect ratio stays visible, with a softly blurred version of the image behind it

On top of that, you can activate a lock overlay: so you can tell at a glance which files are currently locked and unusable — without opening the file first. You set the tile size in the Grid across five steps: XS, S, M, L or XL.

All the relevant information at a glance

So you can see what matters to you at a glance, you configure the information shown on the tile and its header and footer individually:

• Header: name/title as well as upload or capture date
• Label: can be shown or hidden, so you immediately see which labels have been assigned
• Footer: format, copyright, workflow status, star rating, version, comments and attachments — each can be switched on individually

Filters right in view — for even faster work

Above the Grid, two additional filter bars can be shown or hidden:

• Label filter — shows, for example, only assets labeled red or green
• Rating filter — shows, for example, only assets with a specific star rating, such as all three-star assets

That way you filter your media in seconds, without taking the detour through the advanced search.

Build search screens exactly to your needs

In your own search screen you freely combine all available filters — from labels and ratings through keywords to IPTC fields and your own custom metadata fields from the DataStudio. The result is a search screen tailored exactly to your use case, instead of clicking together the right filters again for every search.

Share it or keep it private — you decide

Every search screen can be shared flexibly:

• Share it with the organization — your colleagues access the same search screen, ideal for filter combinations that should be consistent across the team
• Keep it visible only to you — perfect for individual or department-specific needs, for example when only certain filters are relevant to your area of work

For private search screens, you also decide for yourself which filters are shown at all and which are hidden — so your view stays exactly as tidy as you need it.

Ratings and labels in one click

Assign ratings or labels to your files with just a single keystroke. Instead of navigating through context menus every time, you define the key combination once — and mark your assets afterward in a fraction of a second.

Complex actions, radically simplified

Even more elaborate tasks can be reduced to a single keystroke with Quick actions:

• Create an ExternalUpload directly for the current folder
• Generate a DirectDownload without the detour through the menu
• Generate presentations from a saved template at the push of a button

Important to note: the presentation itself isn't customized in that moment — instead, the Quick action falls back on a template you saved beforehand and turns it into a finished presentation for the current folder within seconds.
